Who is responsible
Reasoning Firms is responsible for deciding how the personal information described in this notice is used. For privacy questions or to exercise your rights, use our contact form. For enquiries without a call request, you can use a personal email address and leave the firm field blank.
This notice covers our website, enquiries, paid visits and business correspondence. A bespoke project that involves processing information for your business will need its own agreed data-handling arrangements before that work starts.
Information we receive
- When you enquire or request a call: your name, email, firm if supplied, message and whether you requested a call. General enquiries can use a personal email address and leave the firm field blank. Call requests require your work email and firm. We keep the submission, our replies and a record that it was received.
- When you request a paid visit: those contact details, your visit request, payment reference, amount, payment or refund status, the version of terms accepted and confirmation that you are buying for a business, a copy of the terms presented and related correspondence. Any visit date, location and preparation details are arranged personally by email.
- When messages are sent: the recipient, message contents, delivery reference, delivery status and any failure information needed to investigate delivery.
- When you use the site: hosting and security services handle technical request information, including IP addresses. Our form protection uses a hashed IP-based counter to limit repeated requests. It does not create an advertising profile.
You provide most of this information directly. We receive payment and refund confirmations from Stripe and delivery information from our email service. If a colleague introduces you, we may receive your business contact details from that colleague and use them to follow up about the introduction.
Please describe your business need without including client files, passwords, bank details, health information or other sensitive personal information. We can agree a suitable method if project work requires access to confidential material.
Why we use it
We use enquiry details to reply, discuss a possible project and arrange a requested conversation. We use booking and payment records to administer visits, confirm payments, arrange dates and handle refunds. We use correspondence to manage the business relationship, provide the agreed service and resolve concerns. Our website does not offer a newsletter signup or use enquiry details to subscribe you to promotional messages.
For ordinary enquiries and communication with people representing a business, our lawful basis is legitimate interests: responding to requests and managing a business relationship. For steps you ask us to take towards a contract with you personally, including where you are a sole trader, and for delivering that contract, we rely on contractual necessity. We rely on legal obligation for records that tax or other laws require. Security, reliable message delivery and dealing with legal claims are legitimate interests, limited to what is necessary for those purposes.
You can object to processing based on legitimate interests. Use our contact form and explain your circumstances so we can consider your request.
Providing enquiry details is your choice. Required form fields let us identify the request and reply; without them we may be unable to respond or arrange a visit. Payment information needed for a purchase is collected by Stripe. Merely reading this notice is not consent to additional uses of your information.
Service providers and sharing
Cloudflare hosts the website and database and sends automated enquiry, payment and refund messages. The operator receives and replies to correspondence through Gmail, provided by Google. Stripe hosts payment checkout and provides payment and refund information. Card numbers and security codes are entered on Stripe's page, not stored in our website database. These providers may also use some information for their own security or legal purposes, as described in their notices.
We do not sell your contact information. We disclose information to an authority when legally required, and only share relevant information with a professional adviser if needed to deal with a legal or accounting matter.

International handling
Cloudflare, Google and Stripe operate internationally and may process information outside the UK, including in the United States. Their published information explains their international data handling and the safeguards they describe: Cloudflare’s DPA, Google’s transfer information and Stripe’s privacy notice. Use our contact form if you need information about how these services handle your information.
How long information is kept
How long we keep information depends on why it is needed. We consider whether an enquiry remains active, whether work or a payment is outstanding, any continuing support or contractual obligations, and records needed for tax, accounting or legal claims. Information needed to investigate a complaint, payment issue or delivery failure may be kept until the issue is resolved and any related recordkeeping requirement ends.
Form rate-limit counters stop applying after one hour. Expired counters are removed when the message processor next runs. Payment and email providers may keep their own records under their policies and legal obligations.
You can ask about information relating to you, or request deletion, through our contact form. We will explain if we need to retain particular information.
Your rights and concerns
Depending on the circumstances, you can ask for access to your personal information, correction, deletion or restricted use. You may also have a right to receive information you supplied in a portable format where it is processed automatically on a contract or consent basis. If we ever rely on your consent for a separate activity, you can withdraw it without affecting earlier lawful use.
Use our contact form to make a request. We may need proportionate information to check your identity. We will normally respond within one month and explain if a lawful extension or exception applies.

You can complain to the Information Commissioner's Office about our handling of your information. You do not have to finish our complaints process first. The ICO can also be reached on 0303 123 1113 or at Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
Cookies, automated processing and updates
See our cookie notice for website storage and payment-provider information. The public application does not contain advertising pixels or analytics integrations. It does not send form submissions to an AI model or make decisions about you solely by automated processing that have legal or similarly significant effects. Automatic acknowledgements, payment updates and request-rate limits support ordinary administration.
We will update this notice when the way we handle information changes and show the review date here. If a change materially affects an existing business relationship, we will bring it to the relevant contact's attention.
